About the Position:
The Office Coordinator provides critical support to the Office of the Chaplain and Religious Life at SMU, with particular focus on the Center for Faith & Learning. This position provides administrative support to the OCRL staff (2 full time chaplains, 2 part time chaplains and the Director of the Center for Faith & Learning). Reporting to the Chaplain and Minister to the University and the Director of the Center for Faith & Learning, the Coordinator manages the office environment and programmatic priorities to insure effective operations, communications and development. The Coordinator will demonstrate a commitment to integrating intellectual and spiritual life.
Essential Functions:
Administrative Support - Provide direct administrative support to the Chaplain and Director and support the OCRL team. Will assist the Chaplain and Director in managing time access, serving as Concur delegate, calendaring and scheduling, answering phones and general email inbox, greeting visitors and managing student, family and campus inquiries.
Office Management - Manage the general needs of the Office of the Chaplain and Religious Life including supply purchases, resource management, space allocation, student workers, and campus ministers to include access to University systems, scholarships, parking, ID cards, space access, and office resources.
Teamwork - Work to support the initiative of all areas related to the Office of the Chaplain and Religious Life. Collaborate with chaplains and CFL Director to insure that space is reserved and set up, supplies are ordered, and programs are communicated appropriately on-campus and beyond.
Communications – Develop electronic flyers for OCRL programming. Develop and implement social media strategy to highlight OCRL’s presence and activities. Website maintenance. Design and send monthly e-newsletter. Coordinate and represent the OCRL at campus tabling events.
Financial - Manage accounts payable for the department. This includes P.O.s, journal entries, independent contractor determination forms, stipend payments, purchasing card reconciliation and other Concur transactions.
Special projects - Provide administrative support for the Center for Faith & Learning Advisory Board and other special committees and projects. Includes serving on committees and task forces in support of the OCRL and the Division of Student Affairs. In addition to providing support for unit awards and recognition events and efforts including event preparation and budget management.
Qualifications
Education and Experience:
Bachelor’s degree is required.
Two years work experience is required. Experience in administrative support, office management, communications or event planning is preferred.
Experience with Microsoft Office (Word, Excel, and PowerPoint) is required. Experience with Box is preferred.
Knowledge, Skills and Abilities:
Candidate must demonstrate excellent verbal and interpersonal communication skills with the ability to interface effectively with a wide range of constituencies in a diverse community. Must also possess the ability to communicate effectively in writing, with excellent spelling and grammar skills.
Candidate must possess strong organization, planning and time-management skills with the ability to prioritize and manage multiple tasks. The ability to be flexible and adapt quickly to changing priorities is essential.
